Cancellation and No-Show Policy

At America Virtual Care, we strive to provide accessible and timely care for all of our patients. To ensure that we can effectively manage appointment availability, we have established the following cancellation and no-show policies.

1. Canceling or Rescheduling Appointments

  • If you need to cancel or reschedule your appointment, please do so at least 24 hours before your scheduled appointment time.  If you cancel an appointment at least 24 hours in advance, no claim will be filed with your insurance, and no co-pays or deductibles will be charged. You can cancel or reschedule by:

    • Logging into your America Virtual Care account.

    • Emailing us at care@avccare.com.
       

2. Late Cancellations (Within 24 Hours)

  • Non-Refundable Policy: Cancellations made within 24 hours of your appointment are considered late cancellations. In such cases, the appointment fee will be non-refundable. This policy helps us maintain efficient scheduling and offer timely care to other patients.

  • Insurance Payments: If you cancel within 24 hours, any co-pays or deductibles associated with your scheduled appointment may still apply. America Virtual Care reserves the right to bill for missed appointments as allowed by your insurance plan.
     

3. No-Show Policy

  • No Show, No Refund: If you fail to attend your appointment without canceling in advance, the appointment fee will be non-refundable. For Insurance payments, no-show appointments, co-pays, or deductibles may still be charged, and America Virtual Care may bill your insurance as allowed by your plan. Please review your insurance provider’s policy regarding missed appointments. This ensures that our providers’ time is respected and allows us to better serve other patients.
     

4. Emergencies and Exceptions

  • We understand that emergencies or unexpected circumstances may arise. If you experience an emergency that prevents you from canceling in time or attending your appointment, please contact our support team as soon as possible. In certain situations, we may review and waive the cancellation or no-show fee at our discretion.
     

5. Refund Policy for Early Cancellations

  • If you cancel your appointment at least 24 hours in advance, you will receive a full refund. Refunds will be processed within 5-7 business days.
     

6. Appointment Reminders

  • To help you avoid missed appointments, we will send you email or text reminders 24-48 hours before your scheduled time. Please ensure that your contact information is up to date.
     

7. Recurring Cancellations or No-Shows

  • If repeated cancellations or no-shows occur, we may require a deposit or full prepayment for future appointments.
